What are some tips on the game overall, like how many guardhouses, taverns, and just about how many of everything is great to have in a castle and outposts?

It's a matter of choice, really. You can only have 3 taverns, so I would always have that many. The number of gaurdhouses is up to you: 3 in the Main and 0-1 in each Outpost is what I see most of the time, but some people have lots more. I like to start fires:p, so I keep 5 in each, for when folks try and start fires on me.
As for goods producers, (ie: farms, wood cutters, stone masons) 8-10 of each in your main castle is pretty common. I like having a huge army, so I keep 16 farms in each of my Outposts, along with 8 of whatever else they make (8 food outposts8)) This can make it so you build slower; i'm always sort on goods.
As for houses, again, it's a choice. My huge armies cost lots of gold to make, so I tend to have tons of houses. my outposts have 12-20 houses and as many of the best PO things I can fit. It's hard, but I find I can keep PO at 150%-ish. My main castle I only have enough houses to finish quests. It's where most of my goods come from, so I like keeping it's PO around 200%
I also keep a maxed out Barracks, a level 2 siege shop, and a maxed out market at each outpost. (biuld troops, build tools, move stuff around) Walls and turrents always at max: Good for PO and if you get attacked. I don't know about moats at outpost... i may if I have extra goods, but I have not yet.
So, thats me. i'm sure others will tell you what they think of my plan and help you get an idea about the pros and cons of this and other tactics

I don't have guardhouses in many of my castles, and I do not have dwellings in many of my castles even if I am level 60 I have less than 800 of population, and what I do is keeping the PO over 225% and filling my castles with farmhouses after building everything that is necesary (Decorative Items, Workshops, Barracks etc)

what do you do for defending? like all men equally spread out or all on flannks

Myself, I keep all my defenders equal. If I see an attack thats going to beat me, I might move everything to the flanks, see if I can't win there and cause some more damage in the keep.
